Validate Your List Before Switching Email Providers

Migration Is When Lists Get Dangerous

Switching email service providers — Mailchimp to Klaviyo, HubSpot to Brevo, whatever the combination — feels like an administrative task. Export here, import there, reconnect your forms, done. But migration is precisely the moment a list full of dead addresses turns into a deliverability disaster, and the damage often doesn't show up until weeks later.

The reason is that you're starting from zero reputation on the new platform's sending infrastructure.

Why a Fresh ESP Has No Patience for Bounces

On your old provider, your sending IP and domain had a track record. Mailbox providers like Gmail and Outlook had learned, over months or years, that your mail was wanted. That accumulated trust is what kept you out of the spam folder.

When you move to a new ESP, much of that trust doesn't transfer cleanly — especially on shared sending infrastructure. Your first few sends are effectively an audition. And the single fastest way to fail that audition is a wave of hard bounces, because high bounce rates on a cold setup scream "spammer" to every filter watching.

Import a list that's 8% dead addresses and your very first campaign on the new platform can land you in spam folders you'll spend months climbing out of.

The Pre-Migration Validation Checklist

Run this before you import anything into the new platform:

  1. Export the full list from your current ESP. Get every contact, not just the active segment.
  2. Validate format, DNS, and MX. Remove guaranteed hard bounces — malformed addresses, dead domains, domains with no mail server.
  3. Suppress chronic non-engagers. Migration is a natural moment to drop contacts who haven't opened anything in 12+ months. A smaller, engaged list warms up far faster.
  4. Import the clean list. Then warm up gradually rather than blasting your whole database on day one.

Step 2 is the one that prevents catastrophe. If you only do one thing, do that.

Don't Hand Your List to a Third Party on the Way Out the Door

There's an irony in migration: you're often switching ESPs because you wanted more control over your data or lower costs — and then the standard advice tells you to upload your entire database to a cloud validator as part of the move. That just adds another processor to the chain you were trying to simplify.

A local validator avoids that entirely. Your list goes straight from the old ESP's export to your own machine, gets cleaned, and goes straight into the new ESP. It never touches a validation company's servers. For EU businesses mid-migration, that also means one fewer data processing agreement to chase down — see our GDPR compliance guide.

The Cost Argument During a Migration

Migrations already cost money — setup fees, overlap subscriptions, the time to rebuild templates. Adding a per-email validation bill on top, right when you're validating your entire list in one go, is poorly timed. A 100,000-contact list at cloud rates can run into hundreds of pounds for a single pre-migration pass.
